The last bell to complement the formalities. A new obligation for companies tomorrow

From tomorrow, the obligation to use e-mails is extended to entrepreneurs and companies registered in the National Court Register until the end of December 2024.
“April 1, 2025-the deadline for companies from the National Court Register is approaching for mandatory use of e-mails. Time for digital transformation! Put on the ADE box and settle matters online!” – reminiscent of Poczta Polska in the post on the X. platform.
According to the National Operator from April 1, 2025, the obligation to use the e-mail system will be extended to enterprises and companies registered in the National Court Register before the beginning of this year, i.e. until the end of December 2024.
-Electronic exchange of correspondence implemented as part of the e-mail service is to guarantee quick and secure delivery of documents primarily on the Office-Entrepreneur/Organization/Natural Person. However, thanks to commercial services of e-mails, electronic communication between non-public entities and citizens will also be possible. In the future, e-mails will completely replace ePUAP and significantly reduce traditional paper correspondence-explains Wojciech Zając in an interview with “Wprost”, a lawyer at the Russell Bedford office.
What are e-cumulations?
-Speaking of e-measures, we distinguish primarily the public service of registered electronic delivery (Purde) and a qualified service of registered electronic delivery (damn). Public entities (e.g. offices) are the first obligatory. In turn, the second is implemented by commercial entities and enables correspondence between non -public entities, such as companies, foundations, associations, as well as natural persons – explains Zając.
As the lawyer indicates, along with the latest changes, consumers will gain the possibility of electronically corresponding not only with offices.
-E-Depressions create a chance for correspondence with entrepreneurs and other entities entered in the National Court Register. For example, consumers will be able to make a declaration of complaint or withdrawal from the contract in this way – he notes.
How to use the e-mail system?
The lawyer explains that the qualified service of registered electronic delivery provides public standards of the registered electronic service service. By using the Kurde services, we will obtain evidence of sending and delivery of correspondence, as in the case of Purde. Damn is equivalent to a traditional postal parcel with a return confirmation of receipt. Depending on the specific supplier – the service can be paid.
-The condition for corresponding via e-mails is that both entities have an address for electronic service (ADE), entered in the electronic address database (BAE). If the entity does not have ADE – it will not be possible to send and deliver electronic correspondence to him. The address for electronic service should be disclosed in the National Court Register of a given entity – explains Zając.
How to join the e-mail system?
Poczta Polska has developed an instructions for joining the system. “Establishing a box (ADE) is simple, free and you can do it without leaving the office” – we read on the PP website.
Here are 5 steps to set up a box (ADE):

Log in to your entrepreneur’s account at Biznes.gov.pl,

Submit an application to set up an address for e-mails. You can do it while registering a company (entry in CEIDG or to the National Court Register) or when updating the data if the company was registered before January 1, 2025,

Sign the application electronically. You can use a personal, trusted or qualified signature,

Activate the address. After setting up and activating the address by the public supplier, the address will be automatically added to the electronic address database (BAE), and you will get access to a free e-mailbox,

Activate the box. You will receive an e-mail with a box activation instructions. After activation, you will start using e-mails-receive and send messages.

“The era of paper correspondence goes to the past. Implementing e-mails is not only a step towards digitization, but also a chance to use the potential that the digital transformation brings,” reads the national operator’s statement.
– Our previous experiences are positive, and the system is ready to accept new users, offering them not only efficiency, but also access to modern correspondence management tools – says Kinga Dobrzyń, director of the Office of Analyzes and Digitization of Poczta Polska processes.
According to the lawyer, this solution will evolve.
The e-mail system is a new solution that is subject to constant modifications and improvements. It provides easier for business (correspondence between entrepreneurs), but also for consumers who have gained the opportunity to communicate with non -public entities – sums up the lawyer.
