Carriers can recover up to PLN 3,000. PLN for replacing the tachograph. Applications only online, and the deadline for submitting documents is January 31, 2026.

How much can you actually recover for the mandatory replacement of tachographs and who will benefit from the government program? The subsidy system starts in December, and carriers have a strict time limit to submit their applications.

Reimbursement of expenses

From December 1, 2025, from 10:00 a.m., companies carrying out international road transport may apply for reimbursement of part of the expenses incurred for the replacement of recording devices. The funding covers the installation of second-generation smart tachographs (G2V2), required by the provisions of the Mobility Package.

The support takes the form of de minimis aid and amounts to up to PLN 3,000. PLN net for one tachograph. Only companies included in the list of the General Road Transport Inspectorate can use the program. The government has allocated PLN 319.7 million for subsidies, which – with full use of the available amount for each vehicle – will allow refinancing the replacement of approximately PLN 106.6 thousand. tachographs.

Applications are accepted only electronically, via the ARiMR Electronic Services Platform. Documents can be submitted until January 31, 2026, but the granting of funds is based on the order of applications. This means that the pool of money may be exhausted before the recruitment deadline.

A two-stage system of subsidy distribution was used. First of all, support will be provided to companies applying for reimbursement for the replacement of a maximum of 10 tachographs – regardless of the scale of their operations. Only later will the unused funds go to carriers who report a larger number of devices. This solution was developed during consultations to ensure access to the program for both smaller and large entities from the transport industry.

Submitting applications

When submitting the application, the carrier must indicate, among others: transport license number, details of vehicles entered in the records of the International Transport Office, information about the workshop that performed the replacement, a statement regarding the purchase and installation of the tachograph and a printout of the technical data of the G2V2 device. Before starting the recruitment process, it is recommended to check the correctness of the company and rolling stock data in BTM, which may facilitate and speed up the procedure.

It is worth emphasizing that the refund covers the cost of replacing the tachograph, and not the purchase of a new vehicle factory-equipped with a device compliant with current requirements.

The subsidy program is a direct result of the EU obligation to replace tachographs in vehicles engaged in international transport. The new G2V2 devices automatically record location, driving time and driver breaks, as well as additional data required by the Mobility Package. According to manufacturers’ estimates, approximately 150,000 have already been replaced in Poland. tachographs, of which nearly 70 percent are devices compliant with new standards. The aim of the program is to partially alleviate the costs incurred by transport companies in connection with the introduced regulations.
